Job summary/Role description

 

Document Controller (DOC) is responsible for the overall control and management of all incoming and outgoing documents throughout the project timeline. Manages and controls the release of information to and from the project team as well as the internal communication, which includes calculations, reports and drawings.

Duties and responsibilities

  • Ensure that all project documents are properly checked and submitted on time
  • Document classification, sorting, filing, archiving and retrieval of documents in accordance with the project document index and filing systems
  • Receive all incoming correspondence, scan and register all incoming technical documentation
  • Ensure that a 24-hour document processing turn-around time is achieved and maintained
  • Distribute and file all documentation in accordance with the document management procedures and work instructions
  • Receive, update and store the requests for information
  • Carry out handover, close-out and archiving of documentation
  • Carry out administrative tasks such as filing, copying, binding, scanning, etc. as required.

Person Specification

Knowledge & Qualifications

  • University Degree or Diploma in relevant discipline or equivalent.

Experience

  • 3-5 years of experience as a Document Controller;
  • Similar role covered in the last three projects; must be of a comparable size;
  • Experience working on the Contractor side.

Skills and Abilities

  • Fluent English;
  • Excellent IT, analytical, communications and interpersonal skills;
  • Strong interpersonal, team-oriented skills. Self-motivation and direction, with strong bias toward timely performance and problem resolution;
  •  Attention to detail, and the ability to read and draft blueprints (as-built), strong communications and interpersonal skills.
